Resident welfare associations and housing societies collect a surprising amount of material over the years. There are minute books, maintenance receipts, audit reports, vendor contracts, election records and correspondence with the builder or the authority. Alongside the paperwork sit the things used for community events: Diwali lights, Holi and Independence Day decorations, banners, sound gear, folding chairs, sports kits and the stage materials for the annual function. Most societies have no proper place for any of this. Records end up in a committee member's home, and event items crowd a basement corner or a clubhouse cupboard where damp and pests get to them. When the committee changes, things go missing. This guide explains how RWAs and societies can organise records and event items and use a shared storage room to keep them safe and easy to hand over.
Why do RWAs and societies need storage?
- Records outlast committees. Papers must pass from one committee to the next without loss.
- Homes are not archives. Keeping society files in a member's flat causes disputes when they leave the role.
- Event items are seasonal. Decorations and props are used a few times a year and need space the rest of the time.
- Common areas have rules. Fire safety and parking rules often limit what can sit in basements and stairwells.
- Damp and pests cause damage. Basement corners are often humid, which spoils paper and fabric.
Which society records should be kept?
The exact list depends on how your society is registered, such as under a state cooperative societies act or as a registered society, and on its bye-laws. Common records include the registration certificate and bye-laws, minute books of general body and committee meetings, membership registers, audited accounts and audit reports, bank statements, maintenance bills and receipts, vendor and AMC contracts, election records and correspondence with the builder, authority or utility companies. Ask your society's auditor or legal adviser how long each type must be kept, and write the answer into a short retention list.
| Item | How to store | Who owns it |
|---|---|---|
| Registration papers and bye-laws | Keep originals in a sealed, labelled file box | Secretary |
| Minute books and registers | Box by year, keep an index | Secretary |
| Accounts, receipts and audit reports | Box by financial year | Treasurer |
| Vendor and AMC contracts | File by vendor, note the expiry date | Secretary or facility head |
| Festival lights and decorations | Pack in labelled crates, coil lights neatly | Cultural or events lead |
| Banners and backdrops | Roll, never fold, and keep dry | Events lead |
| Folding chairs, tables and sports kits | Stack and keep off the floor | Sports or events lead |
How do you make committee handovers smooth?
Keep an index listing every box in storage, what it contains, its year and who owns it. Keep a copy with the secretary and one with the treasurer, or in a shared online folder. When a new committee takes charge, walk through the index together, check a few boxes and have both outgoing and incoming office-bearers sign the handover note. Record who holds the storage key. A clear index stops the common problem of records disappearing when a committee member moves out. Our guide on boxing and indexing files explains the method.
How should event items be packed?
Sort items by event: Diwali, Holi, Independence Day, the annual function and sports day. Pack each event's items together in strong crates or boxes, labelled with the event name and a list of contents. Test and coil lights before packing, and wrap fragile decorations in paper or bubble wrap. Roll banners around a tube instead of folding them, so they don't crease. Make sure everything is completely dry before it goes into storage, especially after Holi or monsoon events. Read our guide on storing festival decorations and on storing event props.
How do you protect society records from damage?
Use archive boxes with lids rather than open shelves or plastic bags. Keep boxes off the floor on pallets or racks. Don't pack damp papers, and add silica gel sachets during the monsoon. Scan important records, such as minute books and audit reports, and keep the digital copies in a shared folder controlled by the committee. Read our guide on protecting stored items from monsoon damp.
Should a society scan its records?
Scanning makes records easier to share with residents and harder to lose. Start with the most used papers: bye-laws, recent minutes, audited accounts and contracts. Name files clearly, for example by year and type, and store them in a folder owned by the society, not a member's personal account. Keep the paper originals for the period your adviser confirms, since some disputes and inspections may need them.
How should an RWA plan access around the event calendar?
Draw up a yearly calendar of society events and mark the dates when items need to come out and go back. Assign one volunteer per event to collect the crates, check the contents against the list and return everything clean and dry within a week. Note any broken or missing items in the log so the committee can replace them before the next season. Planning pickups a few days early avoids last-minute rushes on festival weekends.
What can't go into storage?
Don't store anything flammable, hazardous, perishable or illegal. This includes fuel, gas cylinders, firecrackers, chemicals, oil, ghee, camphor, incense and food items. Leftover puja material and festival supplies such as diyas with oil, camphor and incense must be removed before packing. Ask the team if you're unsure about an item.
How secure is a storage room for society items?
With a private, lockable room, you use your own padlock and keep the only key. The facility has 24/7 CCTV and regular pest control. Decide which office-bearers hold keys, keep a log of what is taken out and returned, and confirm operating hours and access arrangements with the team before planning event pickups. Read security for stored goods.
How much does storage cost for an RWA?
Pricing depends on the room size and location you choose. Plans are monthly with no lock-in, which suits committees that review spending each year. A GST invoice is available for registered organisations. Pickup, packing and transport can be arranged through partners at an additional cost.
