Move spare laptops, desktops, monitors, printers and cables into a private storage room, and keep devices in daily use with the team. Back up and wipe or lock each device, remove loose batteries, pack everything in padded boxes with silica gel, and keep an asset register with serial numbers and box numbers. Self Storage India offers private, lockable rooms with 24/7 CCTV, regular pest control, monthly plans with no lock-in and a GST invoice for business customers.

Small offices collect IT equipment faster than they expect. Spare laptops for new joiners, old desktops waiting to be wiped, extra monitors, docking stations, keyboards, printers, routers and boxes of cables pile up in a cabin or under the reception desk. In a compact office in Delhi, Noida or Gurugram, that clutter takes space the team needs, and loose equipment is easy to lose or damage. Moving spare and retired IT kit into a private storage room keeps it safe, organised and ready for the next hire. This guide covers what to store, how to prepare devices and how to keep track of every asset.

Why do small offices need IT storage?

  • Hiring cycles. Laptops come back when people leave and go out again when you hire.
  • Hybrid work. Fewer people in the office means spare monitors and desks sit unused.
  • Upgrades. Old devices wait to be wiped, resold or recycled.
  • Bulk buying. Buying several devices at once can save money but needs space.
  • Office moves. A shift or fit-out leaves equipment with nowhere to go.

What IT equipment can go into storage?

ItemStore it?Notes
Spare laptops and desktopsYesWiped or locked, in padded boxes
Monitors and docking stationsYesScreens protected, stored upright
Keyboards, mice and headsetsYesBagged by type and labelled
Printers and scannersYesInk or toner removed first
Routers, switches and cablesYesCoiled and bagged by type
Loose or swollen batteries and UPS batteriesNoBatteries are on the hazardous list
Devices in daily useNoKeep with the team

Batteries are listed among hazardous items, so remove loose and spare batteries and ask the team before storing any device with a large battery, such as a UPS. Check what can and cannot be stored before packing.

How should laptops and computers be prepared?

Data on stored devices is the biggest risk. Before a laptop or desktop leaves the office, back up anything the business needs, then either wipe it or make sure it is encrypted and locked to your company account. Remove it from any shared login lists. Shut it down fully rather than putting it to sleep. Note the serial number and asset tag. Clean the device, close the lid and pack it in its original box or a padded carton with its charger in a labelled bag. For laptops kept for long periods, charge the battery partly before storage and check it every few months. Our guide to storing electronics safely has more detail.

How should monitors, printers and accessories be packed?

  • Pack monitors upright in original boxes, or wrap screens in soft cloth and bubble wrap.
  • Remove ink cartridges and toner from printers, and secure loose trays.
  • Coil cables loosely, tie them, and bag them by type with a label.
  • Keep small accessories like mice and adapters in clear, labelled boxes.
  • Never stack heavy items on top of monitors or laptops.

How do you protect electronics from humidity and dust?

Moisture and dust are the main threats to stored electronics in Delhi NCR, especially during the monsoon. Keep devices in sealed cartons with silica gel packs. Store cartons on shelves, never on the floor, and keep them away from the door where dust enters. Avoid wrapping devices tightly in plastic for months, because it can trap moisture. Check a few boxes every quarter. Our monsoon humidity tips explain more.

How do you track IT assets in storage?

An asset register stops laptops from disappearing. Keep one sheet with each device's asset tag, serial number, model, condition, whether it has been wiped, the box number and the date it went into storage. When a device goes out to a new joiner, log who took it and when. Count everything in the room once a quarter and reconcile it with the register. Give the padlock key to one or two people only, and keep a visit log. See our inventory guide and read about security for business storage.

How can storage speed up onboarding?

Many small offices build a ready kit for each new joiner: a wiped laptop with its charger, a mouse, a headset and any adapters, packed together in one labelled box. Keep two or three of these kits on the shelf nearest the door. When someone joins, one visit is enough to collect a full kit, and the asset register is updated in one step. When someone leaves, check the returned kit against the register, wipe the laptop and rebuild the kit before it goes back on the shelf.

How should IT storage be arranged?

Put shelving along the walls. Keep ready-to-issue laptops on one shelf near the door, devices waiting to be wiped on another, and retired equipment due for resale or recycling on a third. Label the shelves clearly so no one hands out a device that hasn't been wiped. Keep cables and accessories in their own section. Leave a walkway so every shelf is easy to reach. Our guide to storage room layout has more ideas.

What should happen to retired equipment?

Storage is a good place for devices waiting for a decision, but not a place to keep them forever. Set a review every few months. Devices that still work can be resold or donated once they are wiped. Broken devices should go to an authorised e-waste recycler. Keep a record of what was wiped and who received it. This keeps the room for equipment you will actually use again.

Should you use box storage or a room?

If you only have a few cartons of spare kit that you rarely touch, box storage may be enough. It is priced per box, and partner pickup is available at an additional cost. If you issue and collect laptops often, a private room with shelving that you can walk into usually works better. Read about box storage and private rooms, and use the storage calculator to estimate space.

How is IT equipment storage billed?

Costs depend mainly on the space you use and how long you use it. Monthly plans have no lock-in, and a GST invoice is available for business customers. Insurance for stored goods can be facilitated via partners. Read how business storage is billed and how storage insurance works.
