Exhibitors can store booth panels, counters, pop-up stands, fabric graphics, screens, brochures and non-food giveaways in a private storage room between trade fairs. Keep food samples, aerosols, paints and adhesives out. Pack each booth as a coded kit with a panel plan, protect panel faces and roll graphics. Self Storage India serves Noida, Delhi and Gurugram with private, lockable rooms, 24/7 CCTV, regular pest control, monthly plans with no lock-in and a GST invoice for business customers.

Companies that exhibit at trade fairs in Delhi NCR, at India Expo Mart in Greater Noida or at Pragati Maidan in Delhi, face the same problem after every show. The booth comes down, and the panels, counters, graphics, display stands, screens and brochures have to go somewhere until the next event. Booth builders' godowns can be far away, and an office corner fills up fast. A private storage room close to the venues can hold a complete booth kit in one place, ready for the next show. This guide explains what to store, how to pack booth parts so they survive repeated builds, and how to plan around the exhibition calendar.

Why do exhibitors need storage between shows?

  • Reuse saves money. A booth built to be reused only pays off if its parts come back undamaged.
  • Bulky parts. Wall panels, counters and frames take far more room than an office can spare.
  • Several shows a year. Exhibitors who attend more than one fair need the kit ready at short notice.
  • Proximity. Storing near the venues cuts the time and cost of moving the kit for build-up days.
  • One place for everything. Booth parts, samples and brochures kept together are easier to check before a show.

How should a booth be packed as a kit?

Treat each booth as one kit with a code, and number every crate and panel inside it. Keep a simple plan or photo of the assembled booth with the panel numbers marked, so any crew can rebuild it at the next venue. Pack in the reverse order of assembly: what goes up first should come out of the room last loaded, ready at the front. Tape a contents list to the top of each crate and keep a copy with your events team.

How do you protect panels and graphics?

Panel faces and printed graphics show every scratch under show lights. Wrap panel edges with foam or cardboard corners and put a soft layer between panels so faces don't rub. Store panels upright in a rack or flat on pallets, never leaning at an angle where they can bow. Roll fabric graphics and banners face-out around a tube, and keep them in their cases. Remove tape and adhesive residue after each show so it doesn't damage the next panel it touches.

How should screens and AV equipment be stored?

Clean screens and AV gear, remove batteries from remotes and clickers, and pack each item in its original box or a padded carton. Coil cables, tie them and tag them with the device they belong to. Store electronics upright, off the floor and away from heavy crates that could fall on them. Test everything when it comes back from a show so faults are fixed long before the next build-up day. Our guide to storing IT equipment has more tips.

How should brochures and giveaways be stored?

Printed material is easily damaged by moisture. Keep brochures and catalogues in sealed cartons with silica gel, labelled by product line and print date, and keep them on shelves or pallets. Use older stock first, and review cartons every few months so outdated material is recycled instead of carried to another show. Non-food giveaways like pens, bags and diaries can be boxed by type. Read our guide to storing marketing material and our tips on monsoon humidity.

How do you plan storage around the exhibition calendar?

List the shows you plan to attend for the year and work back from each build-up date. A week before, open the kit, check every panel, graphic and screen, and order replacements for anything damaged. Book transport for the build-up day in advance, since venues get busy around major fairs. After dismantling, bring the kit back, clean and repair it, and update your contents list. Always confirm the facility's operating hours and access arrangements with the team before planning a late return after a show closes or an early collection.

How do you work with booth builders and logistics partners?

Many exhibitors use a booth fabricator for the build and a separate transporter. Share the kit list and panel plan with both, and agree who will collect from storage and who will return the kit. Keep a log of what left the room and what came back, and inspect the kit with the vendor when it is returned. With a private, lockable room, you use your own padlock and keep the only key, so decide in advance who will be present for collections. The facility has 24/7 CCTV and regular pest control. What does booth storage cost?

Pricing depends on the room you choose and the location. Plans are monthly with no lock-in, so you can adjust space as your exhibition plans change. Business customers can get a GST invoice. Pickup, packing and transport can be arranged through partners at an additional cost, and insurance can be facilitated via partners. Use the storage calculator to estimate the space your booth kit needs, then call +91-9090206090 for a quote. See also business storage pricing.

Where can exhibitors store booths in Delhi NCR?

Self Storage India has facilities serving Noida, Delhi and Gurugram. Exhibitors who show mostly at India Expo Mart may prefer Noida, while those at Pragati Maidan may prefer Delhi. Pick the location that suits the venues you use most and your own office. If you also hold retail fixtures, read about display fixture storage.
