Store off-season mannequins, shelving, signage and props in a nearby unit to keep the showroom clear. Photograph each display, take fixtures apart, bag fittings, pad glass and lit signs, label boxes by season, and keep next season's items near the door. Monthly plans with no lock-in suit seasonal use.

Showrooms change their displays with the seasons, festivals and new collections. Mannequins, shelving, signage, display tables and festive props come out for a few months and then need somewhere to go. Keeping them in the back room eats space you could use for stock or customers.

A nearby storage unit can hold fixtures between seasons so the showroom stays clear.

Which display items do showrooms usually store?

ItemStorage tip
Mannequins and dress formsRemove detachable parts, cover them, and stand them upright
Shelving and gondola unitsTake apart, bag fittings and label each set
Display tables and plinthsWrap corners and stack light items on top only
Signage and bannersRoll banners; store rigid signs flat or upright, face to face with padding
Lighting fixturesPack in original boxes or padded cartons, marked fragile
Festive and seasonal propsBox by season and label clearly

How should you pack fixtures so they're ready next season?

  1. Clean and dry each item before packing.
  2. Photograph each display set-up so it's easy to rebuild.
  3. Take apart large fixtures and keep screws in labelled bags taped to the parts.
  4. Wrap glass, acrylic and lit signs in padding.
  5. Label each box with the season, display and store location.
  6. Keep an inventory. See our storage inventory list template.

How should you arrange fixtures in the unit?

Put next season's display near the door and the rest at the back. Stand tall items such as mannequins along the walls and keep a walkway. Read how to arrange a storage unit for more.

Which businesses store display fixtures?

Any business that changes its look through the year ends up with fixtures that aren't in use. Common examples include clothing and footwear stores switching between seasonal displays, jewellery and electronics showrooms refreshing counters, furniture showrooms rotating sample pieces, and brands that set up stalls at exhibitions and malls. Storing these items away from the shop floor frees up selling space and keeps fixtures in good condition for reuse.

How should each type of fixture be handled?

FixtureMain riskHow to store it
MannequinsBroken fingers, scratched finish, lost partsTake off arms and hands where designed to, wrap each part, keep the set together in one labelled bag or box
Glass shelves and cabinet doorsChipped corners and cracksCorner protectors, bubble wrap, boards on each side; store on edge

Metal racks and gondolasScratches, bent parts, lost fittingsDismantle, bundle matching parts, bag fittings and label
Acrylic stands and risersScratches and cracksWrap individually in soft cloth or foam, store upright
Lightboxes and lit signageDamaged wiring, cracked panelsPad well, store upright, keep cables coiled and labelled
Seasonal propsCrushed shapes, lost piecesEach theme in its own box with a photo of the display on the lid

Why should you photograph displays before taking them down?

A display that took hours to set up can take just as long to recreate if nobody remembers how it looked. Before you dismantle anything:

  1. Photograph the full display from the front and sides.
  2. Take close-ups of how shelves, brackets and lights attach.
  3. Note the order of shelves or panels on the photo or in a short note.
  4. Print a copy and put it in the box, and keep a digital copy in a shared folder.

How do you keep fittings and hardware from going missing?

Lost screws, shelf pins and brackets are the most common reason a stored fixture can't be put back up quickly.

  • Put the hardware for each fixture in its own zip-lock bag.
  • Label the bag with the fixture name and number.
  • Tape the bag to the fixture itself, or keep it in the same box.
  • Keep a small toolkit in the unit with the tools needed to assemble your fixtures.
  • Number matching parts, such as uprights and shelves, with tape.

How do you plan storage around retail seasons?

In India, many retailers change displays for festive seasons, wedding seasons, summer and winter collections and end-of-season sales. A seasonal routine helps fixtures last:

  1. Before the change: check what's coming out of storage, and whether anything needs repair or replacement.
  2. On change day: take down the old display, photograph it, clean each piece and bag the hardware.
  3. Before storing: make sure wood and fabric are fully dry, and wipe glass and acrylic clean.
  4. In the unit: place the next season's fixtures near the front.
  5. After the season: update your fixture list with what's stored, where and its condition.

What should a fixture inventory include?

A simple list saves time and money. For each fixture, record its name or number, which store or display it belongs to, how many parts it has, where the hardware is, its condition and which shelf or zone it's in. Our storage inventory template can be adapted for this.

How do chains with several stores share one unit?

  • Assign a zone in the unit to each store or region.
  • Use colour-coded labels so staff from different stores pick the right items.
  • Keep one person responsible for the inventory.
  • Log what goes out and comes back, with dates.
  • Agree how damaged items are reported and replaced.

What are common mistakes when storing fixtures?

  • Leaving fixtures assembled when they're designed to come apart, wasting space.
  • Stacking boxes on glass shelves or acrylic stands.
  • Storing wood directly on the floor through the monsoon.
  • Losing hardware because it was packed separately without labels.
  • Storing paint, adhesives, aerosols or other flammables used for displays. These can't go into storage.
  • Not recording which fixture belongs to which store.

Storing printed material too? See marketing material storage. For shop stock, see storing shop stock in a unit.

How should exhibition and event stalls be stored?

Brands that take part in trade fairs, mall activations and pop-ups often own a stall kit: panels, a counter, lighting, graphics and furniture. Kept together and in good condition, a kit can be reused many times.

  • Pack the kit as one set. Store all the panels, frames, counters and lights for one stall together, in a clearly labelled zone.
  • Protect printed graphics. Roll fabric and vinyl graphics loosely around a tube, print side out, and keep them in a tube or case.
  • Check lights and cables. Test lights before packing, coil cables loosely and label each one.
  • Write a set-up note. Include photos of the assembled stall and a parts list with each kit.
  • Inspect after each event. Replace anything broken before the kit goes back into storage, so it's ready for the next booking.

Is it worth keeping fixtures rather than replacing them?

Fixtures such as quality racks, glass units and mannequins can last for years if they're stored carefully. Keeping them usually makes sense when they suit your brand's look and are in good condition. Fixtures that are damaged, outdated or tied to a one-off campaign may cost more to store than to replace. Review your fixture list once a year and sell, donate or recycle what you won't use again. Monthly plans with no lock-in let you change your unit as your needs change.
