Don’t store medicine samples or perishables in a self storage unit: perishable goods and hazardous chemicals aren’t allowed, and medicines often need the storage conditions on their label. Medical reps can store literature, branded gifts and display material in a private, lockable unit with 24/7 CCTV and regular pest control.

Medical representatives across Delhi NCR carry product literature, visual aids, branded gifts for doctors and display material for clinics and chemists. Much of it ends up in a car boot or a spare room at home. A storage unit can hold the non-medical part of that stock in one organised place.

Can you store medicine samples in a self storage unit?

No. Perishable goods and hazardous chemicals aren't allowed in our facilities, and medicines often need the specific storage conditions printed on their label. Don't store drug samples, medical devices that need controlled conditions, or anything perishable. Keep these in the conditions your company and the product label require. See what can and can't be stored.

This guide covers only literature, branded gifts and display material.

What can medical reps store?

MaterialStorage tip
Product literature and leafletsKeep in sealed cartons, flat, off the floor
Visual aids and detailing foldersBox by product or brand
Branded gifts (pens, notepads, calendars)Box by item and count
Clinic and chemist display materialStore standees in their bags, upright
Conference and CME kits (non-medical)Keep each kit in a labelled carton

How should you organise it?

  1. Group material by brand or product.
  2. Label each carton with the item, brand and count.
  3. Keep current material near the door and older material at the back.
  4. Keep an inventory and update it after each collection. See our inventory list template.
  5. Clear out outdated literature regularly, following company rules.

How do you protect paper from damp?

Keep cartons off the floor and sealed, and leave a gap from the walls. Read our monsoon storage tips.

Why do medical reps run out of space at home?

Medical representatives and area managers often work from home, and the material for a territory builds up fast. Literature arrives for each product launch, visual aids are updated, branded gifts come in bulk before campaigns, and conference kits need somewhere to sit between events. In a typical flat, this ends up in a spare room, under beds or on a balcony, where it's exposed to dust, damp and children's hands. A storage unit keeps non-medical material in one dry, organised place close to your territory.

What should stay at home and what can go into storage?

Keep at home or as your company directsCan go into a storage unit
Drug samples of any kindProduct literature and leaflets
Medical devices that need controlled conditionsVisual aids and detailing folders
Anything with a temperature or humidity requirement on its labelBranded pens, notepads, calendars and gifts
Confidential doctor lists and reportsDisplay standees and clinic material
Your laptop and tabletConference and CME kits with no medical products

If you're unsure whether an item counts as a medical product, check with your company before storing it. Your company's policies on samples and records always come first.

How do you plan a weekly routine around stored material?

  1. Plan the week's calls. List the doctors and chemists you'll visit and the brands you'll detail.
  2. Pick up only what you need. Collect literature and gifts for the week, rather than carrying everything in your car.
  3. Update the stock list. Record what you took so you know when to request more.
  4. Bring back unused material. Return extra cartons so they stay clean and flat.
  5. Clear out at month end. Remove outdated literature and follow company rules for disposal.

How do you handle product launches and campaigns?

Launches often bring a large delivery of literature, visual aids and gifts at once. Before it arrives, clear space near the front of the unit, check the delivery against the dispatch list, and label each carton with the brand and launch name. Move older material for the same brand to the back or remove it if it's been withdrawn. After the campaign, count what's left and report it as your company requires.

Why shouldn't you keep material in your car?

Many reps keep cartons in the boot of their car for convenience. Over time this can cause problems:

  • Heat inside a parked car through summer can warp and fade printed material.
  • Monsoon damp can get into cartons.
  • Material in a car is more exposed to theft.
  • Extra weight in the car adds wear.

Carrying only the week's material and keeping the rest in a dry, secure unit avoids most of these issues.

How can area managers organise storage for a team?

  • Use one unit as a central point for the team's literature and gifts.
  • Assign shelves or zones by brand or by rep.
  • Keep a shared stock list that each rep updates after a pickup.
  • Agree who has access and how keys are handled.
  • Keep records of what each rep collects, if your company requires it.

What happens when you're transferred to another territory?

Transfers are common in pharma field roles. When you move, hand over material for your old territory as your company directs, and store personal household items while you settle into the new city. See storage for a transfer posting for planning a move.

What are common mistakes to avoid?

  • Storing drug samples or medical devices in a self storage unit. These aren't allowed.
  • Keeping cartons on the floor through the monsoon.
  • Mixing old and current editions of literature.
  • Not keeping a stock list, so material runs out unexpectedly.
  • Leaving confidential reports in storage instead of following company rules.

For layout ideas, see arranging a storage unit. For general business storage, see choosing a business storage unit size.

How should branded gifts and merchandise be packed?

Branded items vary a lot in size and fragility, and they're often counted against a budget. Packing them well makes counting and distribution easier.

  • Keep items in their original cartons where possible, with the count written on the outside.
  • Separate fragile items such as mugs, glass paperweights or desk clocks, and pad them.
  • Box small items by type, such as pens, notepads or keychains, rather than mixing them.
  • Keep calendars and diaries flat so they don't bend, and store them by year.
  • Don't store edible gifts. Chocolates, sweets and dry fruits are perishable and can't go into storage.

How should conference and CME kits be stored?

Kits for doctor meetings, CMEs and conferences often include a backdrop, standees, a table cover, brochures and stationery. Store each kit in its own labelled carton or bag, with a contents list taped inside the lid. After each event, check the kit, replace used or damaged items, and update the list before it goes back. Keep any medical products used at events out of the kit and handle them as your company directs.
